How the Search Works

Hybrid Search: AI + Keyword Matching

The search engine uses a hybrid approach:

• AI-powered semantic search finds documents based on meaning and context — even if you don’t use the exact keywords.

• Traditional keyword matching returns precise results when you search for specific words or phrases.

This combination gives you both flexibility and precision, helping you locate information faster.

Search From Anywhere in the Portal

You can open search from any page within the VDR.

• The search panel appears as a slide-out.

• You remain on your current page while viewing results.

• You don’t lose your place in folders, documents, or tasks.

This allows you to continue working without interruption.

Understanding AI Search Results

Top 20 AI Results

When using AI-powered search, the system displays the top 20 most relevant results.

If you don’t see what you’re looking for:

• Refine your search query (add more detail or clarify terms).

• Try a different search phrase.

Running an Exact Keyword Search

If you need highly specific results, use quotation marks.

Example:

"financial statement"

Placing terms inside quotation marks:

• Performs a pure keyword search.

• Returns exact word or phrase matches.

• May display a broader set of results.

This is useful when you know the precise term you want to find.

Document Summaries

Each search result includes a short AI-generated summary.

These summaries:

• Provide a quick overview of the document.

• Help you compare results faster.

• Reduce the need to open multiple files.

Using Search Filters

You can narrow your results by applying filters before or after running a search.

Available filters include:

• Folders – Limit results to specific areas of the VDR.

• Date – Filter by upload date or last modified date.

• File Type – Restrict results to PDFs, Word documents, spreadsheets, and more.

Filters can be combined to further refine your results and reduce search time.
