Managing signature requests
Once a signature request has been created, it can be managed from the Signatures tab in the same area where the document is located.
Signature requests can only be managed while their due date has not passed. All requests that are still active are listed in the Pending requests section.
Pending Requests
The Pending requests section provides an overview of all signature requests where the due date has not yet passed.
Each signature request displays:
- The document name of the document to be signed
- A status indicator
- A progress bar showing how many signers have completed the signing process
- The due date of the signature request
- Available actions, such as signing or rejecting the document, if you have been asked to sign.
By default, signature requests are sorted by upcoming due date. This ensures that the request requiring the most immediate attention appears at the top of the list.
Contextual warning banners also highlight signature requests that require attention. These include:
- Requests with a due date less than 24 hours away
- Requests that have been rejected by a user
- Requests where the due date has already been extended
Making Changes to a Signature Request
Administrators and content administrators can make changes to pending signature requests.
To access the available management options:
- Open the Pending requests section.
- Click anywhere on the relevant signature request to open its details.
- Use the available options to manage the request.
From the request details, you can:
- Extend the due date
- Cancel the signature request
- View and manage the signers
- Change the signature level required to sign the document
- View an overview of reminders that have been sent, if reminders were enabled when the request was created
Only administrators and content administrators have permission to make changes to signature requests in the portal.
Changes can only be made while a signature request is pending. It is therefore recommended to monitor ongoing signature requests and ensure that all required signers complete the process before the due date.
Expired Signature Requests
If a signature request expires before all required signatures have been collected, the request becomes invalid.
An expired request cannot be completed. To continue the signing process, a new signature request must be created and sent to all required signers again. All expired requests are listed in the recent history overview, together with recently completed requests.
